How to plan your move, request a quote, and compare international moving proposals properly.

We recommend starting the international moving process 3 to 4 months before your intended move date. This provides enough time for planning, destination research, documentation, budgeting, and scheduling.

Ideally, you should finalise your moving company 2 to 3 months before your move date. This allows sufficient time for the pre-move survey, booking of shipping space, customs preparation, export packing arrangements, and coordination with the destination office or partner.

The easiest way to get a quote is to contact us through our website enquiry form or email us directly. Once we receive your enquiry, a relocation coordinator will contact you to understand your moving requirements and arrange a pre-move survey if necessary. After the survey is completed, we will prepare a detailed quotation based on the volume of your shipment and the services required.

Yes. We provide pre-move surveys and quotations for international moving services free of charge. There is no obligation to proceed with the move after receiving a quotation. Our goal is to provide an accurate estimate so you can plan your relocation timeline and budget with confidence.

In the rare event that a pre-move survey is required in a remote location, a virtual video survey can usually be arranged instead.

During a pre-move survey, a relocation coordinator assesses the volume and nature of the items you intend to move. The survey can be conducted in person or, in some cases, by video call.

We will identify any items that require special packing, crating, or handling, evaluate access conditions at your home, and determine the most suitable shipping method.

The survey is the most important step in preparing an accurate international moving quotation, so it is important to show the surveyor all the items you intend to move, as well as any special requirements that may affect the quotation.

Yes. We can often provide an accurate ballpark quotation based on a video survey or detailed information provided by you. Video surveys have become a practical alternative for many international relocations and can usually be arranged at a convenient time. For larger homes or more complex shipments, an in-person survey may still be recommended to ensure the quotation is as accurate as possible.

To prepare an accurate quotation, we usually need your origin and destination addresses, your preferred moving date, the size of your home, and an estimate of the items you intend to move. It is also important to let us know if you have specialty items such as a piano, vehicle, artwork, antiques, or any items that may require custom crating or special handling.

Alternatively, you can arrange a pre-move survey with us, and our relocation coordinators will guide you through the process.

In most cases, we provide a quotation within 4 business days after the pre-move survey, in accordance with the service standards followed by FIDI members. For many common international destinations, we are often able to issue a quotation within 2 business days, depending on the complexity of the move and the information available at the time of the survey.

Most quotations are valid for 30 to 60 days. International moving quotations are valid for a limited period because shipping rates, fuel costs, and carrier charges can change over time. The validity period will be stated clearly in your quotation, and if your move is postponed, we can update the quotation based on the latest shipping conditions and destination charges.

A Vanpac quotation will clearly specify the services included in your move. Depending on the scope of the relocation, it may include export packing, packing materials, furniture dismantling, loading, international transportation, documentation, customs coordination, destination delivery, and basic furniture reassembly. Any optional services, such as custom crating, storage, or additional insurance coverage, will be shown separately so you know exactly what is included.

Our quotations are prepared in accordance with the best practices of the FIDI Global Alliance, ensuring that they are transparent, detailed, and easy to understand.

Certain costs may not be included because they depend on the regulations and conditions in the destination country. These may include customs duties, taxes, quarantine fees, customs inspections, terminal handling charges, storage requested after shipment arrival, or delivery conditions that could not be assessed during the survey. We will explain any known exclusions before you confirm your booking.

The cost of an international move is mainly affected by the volume of your shipment, the origin and destination countries, the shipping method, packing requirements, access conditions, and any additional services such as storage, vehicle shipping, pet relocation, or fine art handling.

Yes. We encourage customers to compare quotations from different international moving companies. However, it is important to compare more than just the total price. Check whether the quotation includes export packing, destination delivery, customs coordination, insurance options, storage, crating, and any potential destination charges. A lower quotation may not always include the same scope of services as a more comprehensive quotation, so comparing the details is often more important than comparing the headline price alone.

Shipment volume is usually measured in cubic metres (m³) or cubic feet (ft³). During the pre-move survey, your relocation coordinator measures the furniture, cartons, and other household items that will be shipped, since this volume — not weight — forms the basis of your quotation.

Most household goods relocations are priced by the amount of space your belongings occupy in the container, not how heavy they are. A shipment of lightweight but bulky furniture can cost more than a smaller shipment of heavier items, simply because it takes up more container space. This is why an accurate volume assessment at survey stage matters more than weight when preparing your quotation.

For example, Groupage services are not available between every origin and destination, so the most suitable shipping method will depend on your relocation requirements.

Events such as the COVID-19 pandemic, global conflicts, changes in fuel prices, port congestion, and shipping capacity have previously caused freight rates to increase by several times their normal levels. As a result, the figures above should be used as a general guide rather than fixed prices.

The best shipping method depends on how much you are moving, your budget, and how quickly you need your belongings.

Air freight is generally suitable for smaller shipments, such as around 10 cartons or fewer, when you need your essential items to arrive quickly. While it is more expensive than sea freight, it offers significantly shorter transit times.

Sea freight is the preferred option for most international household moves because it is much more economical for larger shipments, furniture, and household goods.

Yes, in most cases your moving date can be changed, subject to operational availability and shipping schedules.

If your shipment is moving by Full Container Load (FCL), your packing and collection dates are planned around the confirmed vessel schedule. Changes made close to the packing date or after the container has been booked may affect the sailing schedule and could result in additional charges or delays.

If you need to change your moving date, please let your relocation coordinator know as early as possible so alternative arrangements can be explored.

Yes. A deposit is generally required to confirm your booking and reserve the necessary resources for your move, including packing crews, equipment, shipping space, and destination coordination.

Depending on your agreed credit terms, full payment is generally required before or on the scheduled packing date. Your relocation coordinator will advise you of the applicable payment terms when your quotation is issued.

A binding quotation is based on the agreed shipment volume and scope of work identified during the survey and is generally subject to the terms stated in the quotation. An estimated quotation is based on limited information and may change if the actual volume, access conditions, or services required differ from the original estimate. When comparing international movers, look beyond the headline price. Check whether the company is FIDI FAIM accredited or a member of recognised industry associations, whether the quotation includes packing, customs coordination, destination delivery, insurance options, and whether the company has an established international partner network. Preparing for Packing Day

What to do before our packing team arrives, and what should travel with you instead of in the shipment.

Once you have confirmed your booking, your relocation coordinator will guide you through the remaining preparations before packing day. This may include confirming your packing schedule, collecting any required documentation, discussing special packing requirements, and answering any questions you may have before the move.

If required, you should also make the necessary arrangements with your building management or management office for your move. This may include booking lift access, reserving parking spaces for our moving trucks, or arranging a loading bay or shipping container parking permit where applicable.

If there are any changes to your moving date, destination, contact details, or the items you intend to ship, please let your relocation coordinator know as early as possible. This allows us to review your moving plan and make any necessary arrangements before packing begins.

Preparing your home before packing day helps ensure your international move proceeds smoothly and efficiently.

We recommend decluttering your belongings and deciding which items you wish to ship, donate, sell, or dispose of before our professional packing crew arrives. You should also begin setting aside the personal belongings that you intend to carry with you on your flight, such as passports, travel documents, jewellery, medications, valuables, laptops, and other essential items.

If you are moving out of a rented property, it is also a good idea to gather together items that belong to the property, such as remote controls, access cards, instruction manuals, spare keys, garage remotes, or other landlord-owned items. Labelling or consolidating these items in one designated area makes them easier to hand over at the end of your tenancy.

If there are any items requiring special handling, or if you have decided to add or remove items from your shipment, please inform your relocation coordinator before packing day so we can plan accordingly.

A simple way to prepare is to walk through your home room by room and identify what you intend to ship, store, donate, sell, or dispose of. Completing these decisions before packing day helps avoid delays and ensures your shipment accurately reflects the quotation provided.

The best way to plan your packing and moving dates is to work backwards from the date you need to hand over your property.

Certain personal belongings should always travel with you rather than being packed into your international shipment.

These typically include passports, visas, travel documents, birth and marriage certificates, cash, jewellery, prescription medication, laptops, mobile phones, chargers, important personal documents, and any irreplaceable sentimental items.

If you are travelling with young children, you should also carry essential baby items, snacks, medications, favourite toys, and a change of clothing to keep them comfortable during your journey.

Every country has its own customs and import regulations, and certain items may be prohibited or restricted from international shipment.

Common examples include flammable liquids, aerosols, gas cylinders, fireworks, ammunition, corrosive chemicals, illegal drugs, and other hazardous materials. Many countries also restrict or prohibit the import of food, alcohol, plants, seeds, soil, animal products, and certain medications.

If your shipment is travelling by air freight, additional airline dangerous goods regulations also apply. As import regulations vary between countries, we recommend discussing any unusual, valuable, or regulated items with your relocation coordinator before packing day. We will advise you on the applicable restrictions and help you avoid unnecessary customs delays or additional charges at destination.

Yes. Packing day is an excellent opportunity to clean your belongings as you declutter and prepare for your move. Not only does this help make the packing process cleaner and more efficient, but most people also prefer not to bring unnecessary dust, dirt, or debris into their new home at destination.

If you are moving to countries with strict biosecurity regulations, such as Australia or New Zealand, cleaning your belongings before packing is particularly important.

Items that have been used outdoors, including bicycles, golf clubs, gardening equipment, outdoor furniture, camping equipment, shoes, and vacuum cleaners, should be thoroughly cleaned before packing. No, you don’t have to. Our professional packing crew will pack the contents of your wardrobes, drawers, cabinets, and other furniture into our export-quality moving cartons as part of our full-service international moving service.

In some cases, clients may prefer certain non-fragile items, such as clothing or lightweight household items, to remain inside the furniture for easier unpacking at destination. We are generally able to accommodate this request, provided the combined weight of the furniture and its contents remains safe for handling and transportation.

Yes. Before packing day, refrigerators, freezers, washing machines, dishwashers, and other household appliances should be emptied, cleaned, and allowed to dry thoroughly.

For refrigerators and freezers, we recommend defrosting them 4-5 days before packing day to allow sufficient time for any ice to melt and the interior to dry completely. This helps prevent water leakage, mould, and unpleasant odours during transit.

Where practical, batteries should be removed from battery-operated devices before packing. Equipment that contains fuel, such as lawnmowers or other petrol-powered machinery, should be completely drained before shipment, as fuel cannot be transported as part of an international household goods shipment.

If any appliances require specialist disconnection or installation, such as gas appliances, built-in equipment, or water-connected appliances, please let your relocation coordinator know in advance so appropriate arrangements can be made before packing day.

Yes. Moving insurance is highly recommended for every international move.

Unlike standard home contents insurance, international moving insurance is specifically designed to protect your belongings throughout the relocation process—from the time our professional packing crew begins packing your shipment until it is delivered to your new residence.

During this journey, your shipment may be transported by truck, stored temporarily, handled at ports or airports, shipped by sea or air, cleared through customs, and delivered to your residence. While every shipment is professionally packed and handled with care, international transportation involves many stages where unforeseen events beyond anyone’s control may occasionally occur.

Moving insurance provides valuable financial protection and additional peace of mind throughout the relocation process. Your relocation coordinator can explain the available insurance options and help you determine the most suitable level of cover for your shipment. International moving insurance is available as an additional service and is offered at an additional cost.

The scope of cover depends on the insurance policy selected, but it generally provides protection against physical loss of or damage to your household goods from the time our professional packing crew begins packing your shipment until it is delivered to your new residence, subject to the policy’s terms and conditions.

Insurance is generally intended for household goods that have been professionally packed by your international mover. Cartons packed by the owner (Packed by Owner or PBO) may have limited or no coverage, depending on the insurance policy.

Like most insurance policies, certain exclusions and limitations may apply. These can include pre-existing damage, normal wear and tear, mechanical or electrical failure, deterioration of perishable items, inherent vice, and other policy-specific exclusions.

Before your move, your relocation coordinator will explain the available insurance options, policy conditions, and any applicable exclusions so you can make an informed decision.

Yes. Vanpac offers both short-term and long-term storage solutions to provide flexibility throughout your relocation.

Storage may be useful if your new home is not yet ready for occupancy, if your travel dates differ from your shipment schedule, or if you require temporary storage before final delivery.

Depending on your requirements, we can arrange storage at origin before export or at destination before delivery. Through our global network, we are also able to arrange climate-controlled (air-conditioned) storage facilities in many countries. Please check with your relocation coordinator if this is available at your origin or destination.

For storage periods exceeding approximately six weeks, particularly in warm and humid countries such as Singapore, Malaysia, and Indonesia, we generally recommend climate-controlled storage to better protect furniture, artwork, leather, musical instruments, and other humidity-sensitive items.

Your relocation coordinator will recommend the most suitable storage solution based on your relocation timeline, destination, and storage requirements.

As a general rule, we do not recommend shipping food items as part of your international household goods shipment.

Many countries have strict customs, quarantine, and biosecurity regulations governing the import of food, alcoholic beverages, tobacco, plants, seeds, fresh produce, animal products, and certain medications. These items may be prohibited, require permits, or be subject to inspection upon arrival.

If your shipment is travelling by air freight, additional airline dangerous goods regulations also apply. Items such as lithium batteries, power banks, aerosols, flammable liquids, magnets, and other hazardous goods may be prohibited or subject to special handling requirements.

Moving, Transit & Delivery

What happens on packing day, during customs clearance, and through final delivery at destination.

On packing day, our professional packing crew will arrive at the scheduled time and introduce themselves before beginning work. Your assigned packing supervisor will walk through your home with you to confirm the items to be shipped, answer any last-minute questions, and explain the packing process.

As part of our full-service international moving service, our crew will professionally pack your belongings using export-quality packing materials suitable for international transportation. Each carton and item will be recorded on a detailed packing inventory prepared by our packing supervisor. This inventory forms part of your shipping documentation and helps identify every item throughout the relocation process.

Depending on the size and layout of your home, our crew may work across several rooms simultaneously rather than completing one room at a time. This allows the team to work more efficiently while ensuring every item receives the appropriate level of protection.

Once everything has been packed, your shipment will be carefully loaded into the moving vehicle or shipping container in preparation for export.

Yes. We recommend that you or an authorised representative be present throughout the packing process.

Being available allows you to answer any questions from the packing supervisor, identify any items that should not be packed, and confirm any last-minute changes before loading begins.

Before the moving vehicle departs, our packing supervisor will review the packing inventory with you and obtain your acknowledgement that the shipment has been packed and loaded.

If you are unable to attend, please arrange for someone familiar with your shipment to act on your behalf.

Protecting your home is an important part of every move.

Where required, our crew will use protective materials such as floor coverings, door protectors, stair protection, lift padding, and furniture blankets to minimise the risk of accidental damage while moving large or heavy items through your property.

Particular care is taken when moving bulky furniture through narrow hallways, staircases, lifts, and entranceways.

If your building management has specific moving requirements or protection measures, please let us know before packing day so we can make the necessary arrangements.
